Administrator

Reporting to the Administration Manager, the Administrator is responsible for providing administrative support to the region to include responsibility for ensuring all clinical and operational rotas are 100% filled as per service requirements whilst adhering to strict financial and agency usage targets.

The job holder will also provide reception and telephone answering services within the office, assist and support the management team as appropriate and ensure all documentation is complete, appropriate, accurate and fit for purpose.

Role & Responsibilities
•    Administration support services to the management team, including: information notices and other documents; liaising with colleagues; arranging meetings and making the necessary arrangements; retrieval of information and production of reports or other documents as required
•    Contribute to the monitoring and fulfilment of the clinical and non-clinical rotas, including phone calls to book/change shifts and checks to confirm bookings
•    Ensure that information relating to the region is entered onto the Primecare intranet systems and that checks are made to ensure the accuracy of information provided
•    To contribute to the safe storage, retrieval, archiving and disposal of all documents within the office environment
•    To book accommodation for training events and meetings, including catering if requested
•    To manage the administration of prescriptions for the region to include ordering, monitoring and completing associated paperwork in line with company policy
•    To support the Operations Team in ensuring the fleet of cars for the region are maintained and suitable equipped for the safe and effective delivery of the service
•    Contribute to meeting the standards required by the CQC and Primecare branch audits
•    To update and maintain region specific training matrices for clinical and non-clinical staff; ensuring that training is up-to-date and line managers are made aware of any forthcoming training updates that will be required, where appropriate linking this to information from the weekly Lotus alerts
•    To maintain and monitor Clinical and Non Clinical Staff Files, to ensure all documentation is in date and compliant
•    To support the RCM with logging, documenting and managing complaints and incidents received by the branch; this to include reporting for the monthly performance report
•    To ensure that Purchase Order (PO) numbers are requested in current month for invoicing.

Essential:

Previous Administration experience is required
