Medicines Management Administration Manager

Reporting to the Head of Medicines Management, the Medicines Management Administration Manager is responsible for all administrative functions and financial transactions associated with daily operations. They are required to provide a full range of administrative support to the Head of Medicines Management, when required they should be expected to deputise which may include taking on the role of Deputy Responsible Person (RP). They should also provide support to ensure regular audits and drug management held at various centres take place.

The post holder is required to assist in providing regular updates on policies and procedures relating to drug management to branches. Ensuring all records comply with company requirements and those of the Home Office and MHRA.

Role & Responsibilities
Administration
•    Responsible for all administration functions and financial transactions associated with the operation of pharmacy service at.
•    To ensure that all KPI's are achieved every month and that these are reported on in an appropriate and accurate way to the Senior Management through the monthly performance report.
•    Assist the Head of Medicines Management and support the team in providing a pharmacy supply service to various Primecare departments as required.
•    Responsible for systems and procedures, designing and implementing new ways of working and streamlining processes.
•    Assist in the arranging of training for branch staff on medicine management and the arranging of regular audits of stock control of branches.
•    You will occasionally be required to deputise for and work with the Head of Medicines Management: this may include liaising with external regulatory bodies and acting as deputy Responsible Person (RP) which may involve additional training.
•    Provide support to the Head of Medicines Management to ensure regular audits and drug management held at various centres take place.
•    Ensure all records comply with company requirements and those of the Home Office and
MHRA.
•    Ensure that all policies and procedures for medication management are provided to the
•    Keep up to date with all Home Office legislation relating to order, supplying and storing
drugs both at the Central Pharmacy and throughout the company.
•    Ensure all financial transactions are correctly entered on to the relevant financial
management system and documentation is retained for future reference.
•    Be aware of budget requirements at all times and ensure senior management are made
aware of any potential overspend.
•    Place orders for clinical and non-clinical stock items and manage purchases through to
distribution within the service sites.
•    Constantly monitor the courier service provided to deliver drugs to branches, both for the
quality of service and price.
•    Compile and deliver reports that from time to time may be requested by senior
management over and above those provided monthly.
•    Manage the performance of the Administrator/Bag Dispatcher on a daily basis and provide
regular performance reviews.
•    Liaise with relevant agencies to ensure cover is in place in the case of sickness/absence.
•    Monitor and submit sickness/absence forms, leavers forms etc. to the Human Resource
Team.


Qualifications & Experience
Essential
•    At least two years’ experience of managing financial and accounting processing including the
use of spreadsheets.
•    At least two years’ experience of administrative work in an office environment.
•    Use of payroll and personnel management systems and software.
•    Staff management experience.
•    Experience of stock control and record and data management.
•    Intermediate IT skills including the use of the Microsoft package, email, Lotus Notes and
•    advanced experience of the internet.
•    Preparation and presentation of information in order to inform and influence decisions.

Desirable
•    Experience of working in the NHS or another healthcare environment.
